Tips you need to know when your lease is about to expire

I read Bagus' article for Britcham about the office market in Indonesia, the affect of global crisis, and what he sees as the trends for companies in their decisions regarding their office lease. It's an enlightening read, and a great tips for companies when their lease is close to expiry date.
  • You should give enough time to decide whether you want to stay or move.
  • Office market is over supplied; new office building are giving attractive rental packages
  • Many companies deciding to stay are negotiating their base rent and service charge, since that's the major component of occupancy cost
  • Financially, you should try to sign up for a long lease; 5 to 10 years. Because the fit-out cost is not cheap and you can amortize that over the lease period to make the total relocation cost more manageable
  • Now is a great timing to achieve attractive rental package; either you decided to stay or move

Jakarta Office Property Stacking


One of the best feature in Colliers Office Database is the Property Stacking Plans. Property Stacking is a visual view of every tenants in a building, complete with the lease expiration date and sqm. For example, we can see in 10th Floor, who are the tenants, how many sqm they occupied, and what's their lease expiration date.

Property stacking is a must have feature for Property Management companies/consultants or Developers/Owner Associations who manage their own building. With this visual representation of tenancy, the management can actively monitor the lease expiration dates and offer lease renewals to the tenants, to keep up the occupancy rate of the building.

This also help them to manage the tenants distribution/space planning. For example, if we have 1000sqm vacant space in 3rd floor and 500sqm vacant space in 4th floor, it's not efficient we they accept 100sqm space lease in 3rd floor. In this case we should offer the 4th floor instead.

This can also be useful to Developers whose buildings are in construction phase, to keep track of closed deals (sold/leased) and manage space. Colliers offers Property Representation services to help Developers market their building, either it's still in construction or already launched. Why Banks Keep Getting Bad Debts

Two days ago I hitch Mr. Enry's car to home and we talked about Valuation division in Colliers, Valuation companies in Indonesia, and Indonesian Society of Appraisers. Mr. Enry is the Senior Manager in Colliers' Valuation division; he specialized in Machinery Appraisals. He's been doing machinery appraisals over 25 years.

One thing that intrigued me so much is how he explained the relation between valuer/appraisers' professionalism and a bank's non performing loan score. If I can summarize:
  • Valuation is the last gate before someone receive money from the bank. Often times, the debtors will do anything to make the loan value higher.
  • If the valuer/appraiser lacks in knowledge or experience when making the appraisal, and gives a higher number for the property value, it can hurt banks because they'll give a higher loan than the real collateral value. When the debtors can't pay anymore, it'll become a bad debt/non performing loan.
  • The reason why banks keep getting tricked into giving non performing loans by bad debtors, is because they don't know how to value machinery and they compensate that by relying so much on the written evidence; in this case: the invoices. Imagine this:
    • I have a printing factory and I want to apply loan to a bank
    • I buy new machines at 1.5 Million rupiah and tell my suppliers to write me an invoice of 15 Million rupiah. I'll pay the tax at 10%, that is 1.5 Million rupiah. And get the loan from bank at 80% invoice value, that is 9 Million rupiah. Can you see how much I make money from that? That's right. I get 9-3 = 6 Million rupiah nett just by doing mark up on my invoice.
    • And the reason why banks get tricked? Is because they can't tell whether a machine is worth 1.5 Million or 15 Million. And the reason why they can't tell.. is because they don't have a background in machinery, nor in machinery appraisal.
  • Machinery appraisals is vastly different with Land & Building valuation/appraisal, because they're different in design. That is, Land & Building has a standard value for this type & that type of building using this and that material. While every machine is constructed differently, consists of different parts, and function differently at varying cost used/revenue generated.
  • The theory of machinery appraisal is only one: Replacement cost - depreciation. The challenge is to determine the replacement cost itself; we need to use different formula for different machine types.
  • Only appraisers with machinery engineering background with enough experience can determine the fair/closest property value. Even in India, a machinery appraiser is considered qualified after 10 years of apprentice.
  • To give you an illustration, a typical factory value is 5% land & building; and the rest is machinery value. Even in complex factory like chemicals, the land & building value is negligible/nonexistent. In new buildings now, with new smart building technology and all, the machinery value already consist of 50% of the total property value (usually only 35%); so a Land & Building appraiser can't work by himself to value this kind of building.
  • All right. Now, for the best part. The reason why banks can't seem to choose the right appraisal company to value the machinery, is because we don't have a machinery appraisers association yet; that can provide a certification/standardize the level of service quality. We do have Indonesian Society of Appraisers, but the certification exam is all about land and building. If so, then how can we guarantee that a valuer has the right skill in property valuation/appraisal? How can banks & clients know which company has the best machinery valuation division?
Now that's food for thoughts, and home work to the appraisers society.

Doing great in this economy

When I read the promotion announcement for my colleagues two days ago, I'm not surprised that they did, I'm just surprised that it's "OMG.. THAT fast?". It certainly felt like it's just yesterday when Meka joined the Office Property Rep team, back in 2007. I don't even know her that well, but when I first look at her I know she'll be that successful. Just like when I first met and interviewed Danny (also in 2007), I know he'll be great; and look, now he's having his dream job at Colliers Singapore (kudos to you, Dan!). Both of them has the right skill and attitude; both knows how to look good, and they're willing to take the extra miles.

And to get a promotion in this economy? That's just pretty awesome, don't you think? I noticed for the consultants, it's like having a natural selection. People just come and go. And those who stayed? They're in the right track and bound to be successful one day, if they're not giving up. I just can't believe she really achieved being Account Manager in 2 years.. wow. Anyway, if you have great people in your team; don't let them go! It's the secret of doing great in this economy.

THE Ultimate Office Leasing Guide

So. Yeah. I found it. A book to guide you through the Office Leasing process, point out the common pitfalls for you, and basically what you really need to ensure you've made the right decision for your business (whether to renew your lease or relocate). Answers frequently asked questions (costs & timelines, anyone?), customized for Indonesian office leasing market, and hey, even a relocation checklist :D

If you're having headache just to think about whether you should renew your lease, relocate, consolidate, etc etc. Don't have time to gather all the info about office properties you're interested in. Or frustated with the negotiation process. Or simply don't know where, how and when to start the relocation process. Right? You really need to read this book.

Office Relocation Tips for IT

<-- The server room on 10th floor, way before the office movement.

All right. The reason I'm writing this, is because I have a box on my desk, a really really BIG old printer and BIG CPU under my desk, and a jungle of boxes lying around behind my chair. And that's a better situation than Day 1, because now it's somewhat more sorted (box for network cable, box for telephone, etc). Oh, and the second reason is because we can't find the charger/adaptor for a wireless access point that needs to be installed at the 14th floor (*cries*).

So, tips for you IT guys who manage the server room and have to clean it up when you move office:
  • Label, Label, Label. When me and my friend first unpack one of the biggest box, we found all sorts of things inside. There were phone cables, network cables, power extension cables, power extension plugs, monitor cable, printer cable, adaptors, chargers, CDs, mouse, keyboard. Even a very old and small and heavy laptop (which is broken). Not to mention papers, books, etc. And the worst thing is, we don't know which belong to whom. Even if it's not assigned to anyone, you can put a sticker label that says: Network cable for server XYZ.
  • Then categorize. Prepare a box (the box is labeled, of course) for network cables. A box for telephone cables. A box for power extension cables. A box for laptop adaptors. You get the drift. This way, when someone asked you for an extension cable because she needs more than 2 power outlets on her desk, you don't open so many box and without a result. Also, it saves your time from unnecessarily unpacking things. And, you can arrange the boxes neatly and leave it at that if the server room space is still tight (yeah, just try to stuff things from 3 server rooms to 1).
  • Mark the location for each equipment with a printed, clear, human readable text. For example: you have 3 existing printers and you'll have 7 incoming printers. Where should they be placed? Take the space allocation printout (you know, the floor plan where you mark this desk belongs to whom), and also put your printers/scanners locations there. In the body of every printers, there should be a sticker that said: Printer A, belongs to Mrs. A, from Building A, to Building B 10th Floor. And on the desk where the printer should be placed, stick a printed card (preferable than post-it) that says "Printer A". So then you'll know where to put it and you'll know if anything's missing. And don't put unknown devices on someone's desk! In Day 1 someone asked me for help because he has a big printer on his desk (that wasn't supposed to be there).
  • Print the user name and phone extension and stick it to the desk. This way you'll know where to put a PC with "John Smith" sticker on it and a telephone with "Ext 200" sticker on it.
  • Print a checklist and stick it to users' desk. Really. If you need to: plug in the CPU/mouse/keyboard, test the network connection, check the file sharing mappings, check the corporate Office templates, check the proxy, set up new printers, etc for each computer, you really should just print the checklist and stick it to everyone's desk. That way when you're done, you just tick it off and you'll know that you're done with the desk.
  • Print the Extension List and stick it to user's desk. Or, if your General Admin department have a printed Office Relocation Welcome Kit/Book for everyone, just attach the extension list inside the book.
  • Print each user's login confidentials, put in a sealed envelope and hand them when they move in. That way your phone won't be ringing all the times from users asking his/her internet password, etc.
  • Test your servers! Really. This is the most important thing. When all business files reside in the server, people can't work if the server (OMG) dies. Or behaving bad by disconnecting random people. Or rejecting new proxy users. Or behaves strangely because someone forgets to check the disk quota for each department (ouch, sorry guys).
  • Ask for help. Seriously. If you have 6 staffs, 3 of them programmers and 3 of them tech support, get all of them to help in the Moving Day (Day 0). Surely someone can help printing & sticking the checklist etc and generally be helpful, right?
  • Sort out your Task Priorities, brief everyone of The Plan and have a master commander (ha ha) to coordinate the process. I constantly pestering my friend to say "Okay, done, what else?" and he sometimes doesn't have the answer to that while everything's still a mess. Hmm.. shouldn't we have a checklist that said: Okay, number 1 is to plug everyone's PC to the desks, number 2 is plugging in the phones, etc.
  • Give your team food and beverages. Seriously. When people are helping you, even when you feel like that's their job, you should say thank you and provide food and drinks.


We're centralizing to WTC Sudirman, Jakarta



Finally! We've now settled-in at the WTC Sudirman, Jakarta. Some of us occupied the 10th floor (including me!), and the others occupied the 14th floor. I've only had 1 box to unpack; so I went to help organizing the boxes belongs to IT department. So now we have 1 box for network cable, 2 boxes for telephone & phone cable, 2 boxes for power cable, etc etc. Unfortunately they're still taking space on top of and below my desk (grrr). Anyway, before Moving Day I think I saw the Colliers Tenant Guide Book for Office Relocation at my boss' desk. But now I can't find it since the work area was still cluttered. It's a book that Colliers give to our client who wants to move/relocate from current office space/premise. There's a lot of tips and checklist to help you ensure the relocation process goes smoothly. I'll give you more review about it once I find it.




Akhirnya! Kami semua pindah menjadi satu kantor di WTC Sudirman, Jakarta. Ada yang menempati lantai 10 (termasuk saya!) dan ada yang menempati lantai 14. Saya hanya punya 1 box untuk dibongkar; jadi saya bantu2 menata box2 IT. Sekarang kita punya 1 box untuk kabel jaringan, 2 box untuk telepon dan kabel telepon, 2 box untuk kabel power, dst dst. Sayangnya box2 tsb masih diletakkan diatas dan dibawah meja saya (grrr). Ohya, waktu sebelum hari pindahan, saya sempat melihat buku Panduan Pindahan Kantor di meja kerja boss saya. Tapi sekarang ngga ketemu karena area kerja kami masih berantakan. Buku itu diberikan ke client yang ingin pindahan kantor. Ada banyak tips dan checklist untuk membantu proses perpindahan supaya berjalan lancar. Nanti saya tulis review yang lebih lengkap begitu bukunya ketemu.
